Status Levels

ATI Annual Report Status Level Criteria: Evidence Checklist

Accurately reporting status levels in ATI annual reports is key to ensuring documented progress is made towards ATI goals. Status levels reported by campuses are subject to audit and specific evidence and ATI plan requirements are listed for each status level.

The Optimizing status level indicates the campus has a mature practice:

  • Additional procedures are in place to conduct regular administrative reviews to gauge effectiveness and implement improvements
  • Procedures are in place to track and capture performance data for the defined measures of success
  • Procedures are consistent and formal
  • Documentation is complete and fully reflects the standard practice
  • Resources have been identified and allocated

  • Administrative reviews are conducted regularly which evaluate effectiveness based on an analysis of the following:
    • performance data for each defined measure of success
    • existing resource allocations
    • existing documentation
  • Plans are made to improve effectiveness based on the analysis conducted during the administrative review process
  • Documentation is continually revised to reflect the managed practice
  • Administrative review documentation is archived
  • Procedures are in place to track and capture performance data for the defined measures of success
  • Measures of success have been defined
  • Procedures are consistent and formal
  • Process has been communicated to the campus

  • Administrative review details (dates, participant list, summary of analysis, list of planned improvements, etc.)
  • Information about milestone progress, definitions of measures of success, and summary of performance data
  • Detailed description of process
  • Job titles associated with the success indicator
  • Budget allocations or other resources associated with the success indicator

  • ATI tasks have been added to campus job descriptions
  • New positions have been created as needed
  • Budget has been allocated for related ATI processes

If selecting the Optimizing status level, the following items must be provided in the evidence column:

  • Link to administrative review documentation 
     
  • Performance data for the reporting period
  • Link to milestones and measures of success documentation
  • Link to documentation or location of process documents
  • Job titles associated with the success indicator
  • Budget allocations or other resources associated with the success indicator

The Managed status level indicates the campus has a mature practice:

  • Procedures are in place to track and capture performance data for the defined measures of success
  • Procedures are consistent and formal
  • Documentation is complete and fully reflects the standard practice
  • Resources have been identified and allocated

  • Procedures are in place to track and capture performance data for the defined measures of success
  • Measures of success have been defined
  • Procedures are consistent and formal
  • Process has been communicated to the campus

  • Measures of success definitions and performance data for the reporting period
  • Documentation is complete and fully reflects the standard practice
  • Process documentation is stored in a campus electronic location

  • Resources have been identified and allocated
  • ATI tasks have been added to campus job descriptions
  • New positions have been created as needed

If selecting the Managed status level, the following items must be provided in the evidence column:

  • Link to milestones and measures of success documentation
  • Performance data for the reporting period
  • Link to documentation or location of process documents
  • Job titles associated with the success indicator
  • Budget allocations or other resources associated with the success indicator

The Established status level indicates the campus has a standard practice:

  • Procedures are consistent and formal
  • Documentation is complete and fully reflects the standard practice
  • Resources have been identified and allocated

  • Procedures are consistent and formal
  • Process has been communicated to the campus

  • Documentation is complete and fully reflects the standard practice
  • Process documentation is stored in a campus electronic location

  • Resources have been identified and allocated
  • ATI tasks have been added to campus job descriptions
  • New positions have been created as needed

If selecting the Established status level, the following items must be provided in the evidence column:

  • Link to documentation or location of process documents
  • Job titles associated with the success indicator
  • Budget allocations or other resources associated with the success indicator

The Defined status level indicates the campus has a common practice:

  • Any procedures that are in place are consistent yet informal
  • Documentation, if its exists, is in working draft form
  • Resources have been firmly identified, but not yet allocated

The success indicator needs to be included in the campus ATI plan and should identify:

  • New position requirements, or existing job descriptions that require inclusion of ATI tasks
  • Existing budget allocations

  • Any procedures that are in place are consistent yet informal

  • Draft documentation, if present, is in working draft form
  • Draft documentation, if present, is stored in a campus electronic location

  • Resources have been firmly identified, but not yet allocated

If selecting the Defined status level, the following items must be provided in the evidence column:

  • Link to documentation or location of process documents
    • If no documentation has been written, then briefly describe the process
  • Job titles associated with the success indicator
  • Other identified resources associated with the success indicator

The Initiated status level indicates the campus has an ad hoc or developing process:

  • Any procedures in place are generally ad hoc
  • Documentation is generally absent
  • Resources have tentatively been identified but not yet allocated

The success indicator needs to be included in the campus ATI plan and include information about:

  • Proposed implementation plan
  • Resources that have tentatively been identified

  • Ad hoc or developing practice

  • Documentation is generally absent

  • Resources have been tentatively been identified but not yet allocated

  • Brief description of proposed implementation plan

The Not Started status level indicates the campus has not created any processes, documentation, or allocated any resources.

The success indicator needs to be included in the campus ATI plan and include:

  • An explanation about why no action has been taken yet

  • No action has been taken

  • No documentation has been generated

  • No resources have been allocated

  • Not applicable
